‘Resource’ is expected to reduce the time it takes to plan for the week across several team members and various projects by up to 50 percent. Most AEC firms begin their weeks on Monday with morning meetings between firm leaders, project managers, and staff discussing project priorities and juggling project schedules and deliverables. It is a necessary part of weekly life inside any sized AE firm but one in which smaller firms handle these tasks more ad hoc and without the aid of a staff professional solely dedicated for such resource allocation process work.

More importantly, these Monday meetings are often largely fragmented with firms relying on vocal updates lacking visual feedback versus others who congregate around a screen with a project manager manipulating spreadsheets that track progress.

“Based on our research, we estimate that between $37,500 and $165,000 or more of billable time is spent annually on these Monday morning meetings among firms with five or more employees,” said Robert Yuen, CEO of Monograph. “Through Resource, we’re giving firms the ability to ditch the spreadsheets and instead leverage a digital tool that simplifies, streamlines, and optimizes these weekly planning meetings.”

What Resource Delivers

Monograph’s new ‘Resource’ dashboard gives AE professionals and their teams an overall view of the week’s work and allows them to manipulate units of time in a “button up” fashion so they can understand the impact of that decision in real-time on the allocated budget for the project, its impact on staying on track, over and under schedule, etc.

The Monograph folks believe this helps firms determine and assure that no one employee is spread too thin, or that one project is behind on progress while another is ahead. The technology also helps the team aligned on all efforts without the need for spreadsheets.

Architosh Analysis and Commentary

The AE industry has been in need of software solutions like Monograph for quite some time. Two decades ago there was a healthy set of practice management solutions built specifically for architecture and engineering firms and many built by architects with software or database development skills. Sadly, most of those solutions never gained significant enough user bases to sustain development. Additionally, those built on workgroup relational database platforms like FileMaker Pro never made the jump to the Web quickly enough or successfully enough. As modern web technologies enabled a new generation of SaaS tools to spring up in the first decade of this century, the AEC industry moved towards other types of solutions, many often built for broader industries and fields.

Monograph is built and designed by architects too, like many of the excellent FileMaker Pro based solutions for decades ago, but Monograph is a fully modern SaaS tool. One of the compelling features of Monograph is the development team’s commitment to a “less is more” philosophy, providing a UI/UX that cuts the chase about what the tool is for and why it exists. This latest ‘Resource’ feature set rounds out Monograph nicely.

As a practicing architect as well, however, I couldn’t help but think “could an agile project management tool like the Kanban board also work for a typical architectural firm?”

I think the answer is a very likely yes.

Merlin Project and the Kanban Board

Merlin Project is software from Germany that Architosh last wrote about nearly ten years ago. They got in touch with us this week to tell us about how far Merlin has evolved and how powerful it is. But just as importantly, they wanted us to know that Merlin Project is being used by big-name architecture firms in Germany and beyond. After a quick catch-up on what Merlin Project version 5 is about, I can understand why.

01 – Merlin Project is a full-fledged project management system with Gantt chart, utilization, resources and financial capabilities. The app is a favorite of many big name architecture firms in Germany and Europe.

Merlin Project is built specifically for macOS so AEC pros not on the Mac would need to buy one to use it. Developed by the folks at ProjectWizards GmbH, Merlin Project is a leading project management software sold to over 100,000 customers in 130 countries. As mentioned earlier, it is popular with AEC firm professionals as it has sophisticated Gantt chart capabilities with milestones and dependencies and groups. And for construction professionals, there are scheduling and cost planning tools.

Merlin Project also enables a traditional schedule view that is entirely about viewing dependencies—a way to view a project from a different perspective. (see here). And there is a Mind Map tool for users who prefer an unstructured view for planning out projects alone or with collaborators and then Merlin Project will transfer entries automatically into the project Work Breakdown.

02 – A Mind Map view plus Kanban board is a unique and powerful combination for a project managing application. And this one looks great too!

The big news in the latest release is the new Kanban board. In an “agile” model versus a “traditional” project management model, the Kanban board gathers up “to-dos” for the entire process into “cards” in a far left column called Backlog. The Kanban way is you move these cards, one by one, to the next column to the right as your project progresses, each column a different stage of completion in the overall process. Ultimately, each card over a time period reaches the far right Completed column.

03 – Merlin Project now features agile development Kanban board support. Kanban boards are surprisingly powerful and helped Toyota become the world’s largest automobile manufacture.

There is no need to stop viewing the project and its progress with a traditional Gantt chart. An organization or user can utilize the Kanban board and at any time view the Gantt chart to see it update automatically as “cards” are moved across columns. Architosh Analysis and Commentary

The Kanban system was developed by Toyota just after World War II. Toyota noticed something about Japanese grocery stores at that time, about how they always had just the right amount of inventory and product on the shelves. This inspired Toyota to develop an operational management system that would optimize vehicle production. Folks on the assembly lines would always have the exact right amount of parts and tools for their specific tasks, and management had far better control and a view of what was going on because of the invented Kanban system. For those who want to learn more, this Wiki article is a great place to start. 

So why should architects or construction professionals care about Kanban boards?

Here’s why the C-pros in AEC should care. Kanban is one method to achieve JIT (just in time). Construction schedules are compromised when building supplies or sub-contractors don’t arrive on the project site when originally projected. This impacts “critical path” or processes with dependencies, all trackable in classic Gantt chart-based tools like Merlin Project. What Kanban boards provide is a way to view project steps in a manner where you establish an upper limit to “work in process” for team members. When teams or individuals have too many tasks directly in front of them, they can spin out on confusion about what tasks to do next or get overwhelmed. Kanban keeps folks calm by allowing them to concentrate on the “card” (task) directly in their sight as the next step for them to do.

For management in AEC firms, the big lesson is for senior managers to not approach lower staff with too many task assignments. This “piling up” approach is directly equivalent to the original problem Toyota faced on the assembly lines—a build-up of excess inventory or parts at any point in production. Toyota knew that when excess items were waiting at supply points in the production line, efficiency dropped. Therefore, the Kanban system structured its columnar approach to have a maximum number of items in any one column on the Kanban board. The results of this efficiency model speak for themselves in terms of Toyota’s rise post World World II.

How about solutions like Slack, Harvest, Xero, Asana—to name a few. In the AEC space, we have big leaders like Procore and Plangrid. And for enterprise there is SalesForce. So what about other newcomers that specifically address the needs of architecture and engineering firms?

Introducing Monograph

Monograph Dashboard is a new project management software for architects and engineers. The company, Monograph, is based in San Francisco and was founded by three architects, Robert Yuen, Alex Dixon, and Moe Amaya. They have diverse experiences, including time at Flux.io and at international architecture firm Gensler.

01 – Monograph Dashboard is a new SaaS software web-based tool for project management for architects and engineers. Being web-based it works across both Mac, Windows and mobile device operating systems with modern browser technologies.

Monograph Dashboard is aimed at helping all sized firms manage both teams and project planning with the inclusion of time-tracking to never lose sight of the financial implications of both. Because this is software “built by architects” for architects (engineers have similar needs), at first glance you will see a visually clean and straight-forward application.

As a SaaS application, it works through your browser. That means it works across platforms and devices. For Team management it builds a database of employee records, captures employee utilization and billable hours. You can see, for example, what projects employee X has worked on in the past month, on a visual pie chart and across a dateline with hours up the Y-axis.

Project planning happens in a visual calendar layout (Gantt chart style) where you can see all projects and phases across time. This is the best way to plan project loads for your firm. Time tracking is the third major feature and allows users to log time against fixed or hourly billings. It records hours per project, phase or activity.

Items Coming Up

Like any good SaaS tool today built likely in an agile environment, Monograph Dashboard will gain new features on a continuous stream or schedule throughout the year. Users provide feedback. The app got its start by working closely with multiple firms at different sizes.

02 – Gantt charts allow Monograph Dashboard users to manage projects across a prove format for seeing task and projects across time.

Monograph is fairly transparent about what is coming up. For example, Tasks were on the list here but are now completed. Invoicing, international address support, Quickbooks Online integration, and Xero integration are all coming up next. Those features suggest that the app’s users are truly using the app and want to tie it into their accounting and banking solutions.

Other updates coming later are tackling reimbursable, major Gantt chart updates, and international currency support.

Monograph pricing is simple like most SaaS tools. There is a base price of $30 per month, then $15 per person after that. A slider at the bottom of this page helps you find the cost for your firm quickly. A 25 person office would be less than $500 per month.

Architosh Analysis and Commentary

We have not had a formal demo on Monograph but will get one soon so we can dig in a bit deeper. At the moment the solution looks quite solid. There has always been a need for solutions like this in the architecture market in particular. ArchiOffice was an emerging leader in this space before it was acquired by BQE Software where it continues to be a leader. We have written about ArchiOffice many times in the past and know its founder.

Prior to ArchiOffice, Barry Isakson’s famed Architectronica, later named AIM: Architecture Information Manager, was a powerful and complete system for the entire functioning of an architecture practice, including contacts, staffing, detailing, documents, calendars, timecards and more. That solution was built on FileMaker Pro, Apple’s workgroup database subsidiary’s software that today is still quite popular and once was the sweetheart solution platform for several other AEC industry-based solutions like Architectonic’s solution. 

The solutions that once dominated built on FileMaker Pro diminished towards the end of the last decade as new modern web programming standards emerged that lead to the SaaS movement. 37signal’s Basecamp was the early example of how the new tools for the web browser could work. 

Monograph Dashboard looks very promising but ultimately what makes these solutions big winners seem to be a combination of two key ingredients: (1) forming a tightly focused and excellent solution with a winning UI/UX and (2) expanding to meet customer needs through the right mixture of organic updates and, most importantly, top-tier integrations with other SaaS leaders.

So far the decisions around Xero and QuickBooks look very promising. Instead of building advanced Gantt charts they may choose to integrate with Instagantt.com, for example, as Asana did. And speaking of the latter, this too may be another future integration partner or Slack for team communications.

Celebrating 30 Years of FileMaker Pro

FileMaker Go

With FileMaker Go 14 you can set and lock screen orientations via scripts, display the signature capture screen in portrait and landscape view, play videos in a container field as well as in full screen mode, add scripts to determine if the keyboard appears in your layouts or not, and utilize rich text editing.

FileMaker Server 14

Server 14 now includes FileMaker Web Direct mobile browser support, which means you can tap the power of server to deliver a FileMaker desktop solution delivered in a mobile browser. This is an alternative way to access data versus the FileMaker Go based solutions a company may use. Server supports FileMaker WebDirect redesigned toolbar that is tuned for a mobile device but is useful on any computer.

02 – FileMaker Go 14 includes many new features and will make running custom database solutions on iPad and iPhone even more effective for companies large and small.

A new feature that users will enjoy is that when a connection to the server goes down, FileMaker Pro will automatically reconnect you to FileMaker Server when its available again. You can setup password hints in the FileMaker Server Admin Console and set up password strengths. Finally, there is Standby server. If your primary server ever goes down, experienced server administrators can type in a set of commands via the Command Line Interface, to switch you over to the standby server.

Customers are Transforming Business

FileMaker’s customers scale from Fortune 500 companies down to thousands of small businesses. And the company is very strong in educational markets.  Deployment Notes

When visiting the ArchiOffice website we didn’t see the information on platform deployment details regarding its server and desktop versus mobile support.  The developer has been kind to post a detailed summary in the comments below about the support of the Mac platform for this product–which originated on the FileMaker database platform.

ArchiOffice runs through a Web browser. As such any computing device supported on Windows, Mac, iOS and Android operating environments can access the ArchiOffice application. It’s mobility connections are quite solid, being both available on iPhone, iPad and on similar Android devices.

ArchiOffice does require a server environment for the database engine aspects of its workings. As such, it happens to require Microsoft Windows Server, which can be loaded into Boot Camp on a Mac or run on a low cost Windows box.

Architosh Analysis

This new web-based version of AIA Contract Documents software has been in the works for years. The AIA first shared word about it with us well over a year ago and asked if we’d consider beta testing it. The beta testing didn’t begin when initially thought and so we lost track of the effort but alas here it is! For many Mac-based professionals in the US and abroad this is very good news indeed.

The reality is this was actually a long time coming. Just as the tag line makes clear architects, contractors and building owner/operators need a more fluid access to these documents and forms, and anywhere, anytime access is clearly reflective of the current business environment. One which means that successful companies deliver software that enables customers to access their data anywhere, anytime and all the popular devices of the day.

We understand from our conversations back at the beta stage, that ACD5 may work nearly 100 percent in iOS as well. However, in looking through the AIA’s technical support notes on ACD5, there is no mention of iOS or other mobile tablet operating systems.

Interestingly, the FAQ states that ACD5 operates on the top 3 web browsers. They list them as Internet Explorer (PC), Firefox (PC and Mac), and Safari (Mac). There is no mention of Google Chrome, despite that web browser arguably surpassing IE as the world’s top browser in 2013. It’s important to note that being number one doesn’t really matter to us. As tablets out-ship personal computers this year for the first time, it might be fair to say that the top browsers looking forward will be those that ship on iOS and Android devices. In other words, Safari and Chrome.

All this aside, we are happy to see ACD5 out and ready for prima time!

Architosh Analysis

We were given a preview look at this new version a few weeks ago and we were especially impressed with the new WebDirect technologies. Not only is it easier to create solutions and push them out through the Web but the technology enables immediate feedback in the Web interface without having to refresh the browser, whether the data changes or even a layout changes. We were duly impressed!

Also, the quickness of the product in general is much improved per our preview. A change on an iPad can be reflected back at the server level and pushed out to all other devices, desktops and the Web instantly. We will look more at this product in the near future.

The beta for V-Ray version 3.0 for Autodesk 3ds Max is now out and available. Beta testers will have direct access to the Chaos Group team, which will help make this artist-driven package even more appealing to VFX, arch-viz, and industrial design users in the coming months.

Users will notice many improvements in using the version 3.0 with 3ds Max. Principal among these is speed. Raytracing calculations are running up to 5x faster. Also important is a brand new user interface (UI). Speed and simplicity is at the core of the V-Ray road map because the company says that is what users want. V-Ray 3.0 technology is headed to other leading programs including SketchUp for the Mac soon. We met with Chaos Group at AIA Denver and they showed us with great excitement the new version 3 progress.

2013 SIGGRAPH Announces Technical Papers

The 2013 SIGGRAPH Technical Papers program is the premier international forum for disseminating new scholarly work on computer graphics and interactive techniques. Receiving papers from around the world, selected papers were chosen by a distinguished committee of academia and industry experts.

Some notable items include:

• AIREAL: Interactive Tactile Experiences in Free Air. This paper by a team from University of Illinois and Disney Research. AIREAL is a tactile feedback device that delivers effective and expressive tactile sensations in free air, without requiring the user to wear a physical device. Combined with interactive graphics applications, AIREAL enables users to feel virtual objects, experience free-air textures and receive haptic feedback with free-space gestures.
• Opacity Optimization for 3D Line Fields. This paper by a team from Otto-von-Guericke Universitat, Magdeburg. This paper focuses on visualizing dense line fields, this method selects lines by view-dependent opacity optimizations and applies them to real-time free navigation in flow data, medical imaging, physics and computer graphics.

ARCOM Now Registered ACEC CE Program

Last week the American Council of Engineering Companies (ACEC) welcomed ARCOM as a registered provider for the Registered Continuing Education Program (RCEP), a continuing education system for professional engineers.

ARCOM is a long-time provider of continuing education programs for The American Institute of Architects (AIA) and the American Society of Landscape Architects (ASLA).
